Welcome to hoteliga help!

This help section serves as a reference tool that answers your questions about the use and operation of hoteliga. It is intended to guide you through how to use most functionality in hoteliga.

Here you will learn how you can set and personalize hoteliga to serve your needs in just a few minutes. You will also learn how to use the functions of the system, how to use reports and statistics, manage customer relationships ect.

Help is organized in sections, that explain the different parts of the system. It contains step by step instructions on how to set up the system and how to operate the different functions.

Introduction

Hoteliga is a property management system, also known as a hotel PMS.

It is a comprehensive system used to cover basic objectives, such as coordinating the operational functions of front office, sales and planning etc. It is a system that will help you automate hotel functions, save time and avoid errors.

Hoteliga allows you to perform with ease the daily functions of your hotel. It offers the easiest way to manage your hotel and reservations. You can personalize hoteliga to your needs. It also has all the automated reports and statistics that you need.

Finding your way

This section provides an overview of the layout of the system.



1 Help: The help section that is intended to guide you through how to use functionality in hoteliga. 2 Options: Navigate through different parts of the system (Customers, Calendar, Reservations, Reports, Settings).
3 My profile: Change your password here.
Log out: Log out from your account.
4 Current time and date.
5 Notifications: Notifications about channel reservations and overbookings. By clicking on the number of reservation you can go directly to the reservations and edit it. 6 Customers: Clicking this button takes you to Customers.
7 Calendar: Clicking this button takes you to Calendar. 8 Reservations: Clicking this button takes you to Reservations.
9 Reports: Clicking this button takes you to Reports 10 Settings: Clicking this button takes you to Settings

Getting started

If you are new to hoteliga, here you will find the information you need in order to do the basic settings in the system. You just have to enter your rooms in the system. After that, you will be able to use the calendar and the other parts of the system. It will only take a few minutes!

Room types

Go to settings and click 'Room types'. Click the 'New room type' button. Enter the types of rooms (eg. double, single, suite, studio, apartment etc.). Click OK.

Rooms

Go to settings and click 'Rooms'. Click the 'New room' button. Enter your rooms (eg. 102, 103 or the names of the rooms). Click OK.

Calendar info



1 Date picker: You can jump to any date you want in the calendar by using the date picker 2 Zoom: By using the zoom toolbar, you can zoom-in or out.
3 Navigation: You can move the calendar to the left (past) or to the right (future) by using the arrows toolbar. 4 Toolbar: Toolbar with the commands about reservations.
5 Calendar options: You can set your personal choices of calendar view (Rounded corners, Skewed view, organize rooms by type of rooms or group rooms etc.). 6 Click and hide: By clicking on the room type or room group depending on your calendar options, you can hide the type of room/room group you don't want to see. By clicking again you can unhide them.
7 Help: Provides help regarding calendar's functionality with photos and videos. 8 Rooms: The rooms of the hotel. These can be organized by room type (default) or by room group.
9 Dates: The calendar has the days and months in the top row (weekends are highlighted) 10 Reservations: Inside the calendar are placed the reservations in form or reservation bars.

The reservations are colored with different colors depending on the payment status of the reservation.
Green: the customer has paid the total amount
Yellow: the customer has paid an advance
Red: the customer must pay the full amount

Set up your hotel

This section provides step by step instructions of how to set up hoteliga.

Go to settings and click 'Hotel information'. Fill in your hotel’s information in this section.

Hotel name: Type the name of your property as you want it to appear in your country (Domestic name) and the international name for your international clients. Select your country and click Save.

Contact details: Fill in your contact details. You can also type another email where you would like to receive copies of outgoing e-mails.

Price list: Choose your Rack rate.

Logos: Upload your logo. Click on the 'Upload' button, select your logo from your files and click OK.

Create price lists

You can have as many price lists as you need. Each booking agency could have each own seasons and price list. To create a price list first you have to create the seasons, then you need to create a special season calendar and then the price list.

Seasons

To create a new season, go to settings and click 'Seasons'. Click on the 'New season' button. You can name the seasons as you like (eg. high, low, season A, season B etc.). Apply a different color to each season. Click OK.
If you have different seasons for different booking agencies, please set there here so you can use them in Special calendars.

Special calendars

Special calendars are either related to seasons (seasons calendars) or have to do with a special price being active/enabled or not (yes/no calendars). They are used in different areas in the system but mainly in pricelists.

Use the seasons calendar type to set the dates for the seasons, in other words to specify which dates belong to which season.

Go to settings and click 'Special calendars'.
Give a tittle to the seasons calendar (eg. booking.com).
Type: Select 'Season calendar'.
Move your mouse (point with your finger if you are using a smartphone or a tablet) on the button with the name of the season you want.
Move your mouse (point with your finger if you are using a smartphone or a tablet) to the dates you want, click and color the dates.
If you want to select multiple dates together, left click and hold while moving over the dates.
You can also use the filters (Set, as) to set up a whole month in one season etc.
Click OK to save the changes.

Price lists

To create a price list go to settings and click 'Price lists'. Click the 'New price list' button.

Basic data
Fill in the following basic data.
Title: Give a title to the price list (e.g. booking.com).
Currency: Select the currency of the price list (e.g. Euro).
Special calendars: Select the calendar that corresponds to this price list.
With weekdays: Click this if the price list is depending on weekdays (in case you have diferrent prices for the days of the week) or leave unchecked if the prices remain the same for every day of the week.
Use gross value for special prices: Click this when special prices (e.g. early booking discount) is calculated on the gross value of standard rates or leave unchecked if special prices are calculated on the net value of standard rates.
Click Save.

Standard rates
Fill in the standard rates for each type of room per season. Click Save.

Extra beds
Fill in the charges for extra beds per type of room per season. You can type an absolute value in your currency for example 5€ or a percentage based on standard rates for example 10% extra charge on standard rates. Click Save.

Non refundable rates
Click on the tab 'Non refundable rates' and enter the non refundable prices per type of room per season. Click Save.

Single use rates
Click on the tab 'Single use rates' and enter the prices for single use per type of room per season. You can type an absolute value of price reduction in your currency for example 20€ or the reduction percentage, based on standard rates, for example 20% reduction on standard rates. Click Save.

Meals
At tab 'Meals' you can enter the prices of meals e.g. breakfast, half board, full board etc. for adults and children per season.

Special Prices
Click on the tab 'Special prices'. Click on the button 'New special price'.
Special Price: select the special price you want (e.g. early booking TUI, long stayers etc.).
Validity from: The starting date that the reservation can be made in order for the special pice to be valid.
Validity to: The last date a reservation can be made in order for the special rate to apply
Arrival: Choose the open/closed special calendar specifying the dates of stay for this special price to apply.
Click Save.
Detailed information on how to create special special prices, you will find under section 'Set special prices'.

Taxes
Enabled: Click to enable the calculation of taxes for the rates of this price list.
Included: Click this when taxes are included in the rates. Leave unchecked when taxes are not included.
Click Save.

Set special prices

The system automatically checks if any special prices (discounts or surcharges) apply when you select the reservation date from inside the reservation.

Special prices can be:
Discount on rates e.g. early booking discount 10%, special offer ‘save 20€’, long stay discount 5% etc.
Surcharge on rates e.g. when your occupancy is very high and you want to increase rates, when you want to increase your prices for specific dates due to an event ect.
Special prices can be applied on accommodation and/or board and the can also be applied to specific types of rooms. Stay restrictions are also an option (eg. Minimum stay, exact stay).

To create and apply special prices on price lists you need to follow the steps below.

Open/closed calendar

Go to settings and click 'Special calendars'.
Click the 'New special calendar' button.
Use Open/closed calendar to set the dates of stay that you want a special rate to apply (customer's stay). When a special price is valid, color green (open) and when it is not valid, color red (closed).
Title: Give a title to the calendar (e.g. early booking discount 10%).
Type: Choose Open/closed calendar

Move your mouse (point with your finger if you are using a smartphone or a tablet) on the buttons 'Open' or 'Closed'.
Move your mouse (point with your finger if you are using a smartphone or a tablet) to the dates you want, click and color the dates. If you want to select multiple dates together, left click and hold while moving over the dates.
You can also use filters right (Set, as) to set up a whole month etc.
Click Save to OK the changes.

Special prices

To create a special price go to settings and click 'Special prices'.
Click the 'New special price' button.
Fill in the 'Basic data', choose the type of this special price (discount or surcharge) and click Save.

Click on the tab 'Accommodation' and set the absolute value or percentage of the discount or surcharge.
Select the types of rooms that this special price applies.
Choose if there is a stay restriction (eg. minimum 5 nights).
Click Save.

To apply the special price on board, click on the tab 'Board'. Click on the types of board to apply the special price or leave unchecked if the special price doesn't apply.
Click Save.

Price lists

Go to settings and click 'Price lists'.
Click on the tab 'Special prices'. Click the button 'New special price'.
Special Price: Select the special price you want to apply to this price list (e.g. early booking discount10%, long stayers 5% etc.).
Validity from: The starting date that the reservation can be made in order for the special price to apply.
Validity to: The last date a reservation can be made in order for this special rate to apply.
Arrival: Choose the Open/closed calendar specifying the dates of stay for this special price to apply.
Click Save.

E.g. early booking

Step by step example of how to apply an early booking discount.

10% early booking discount on rates for reservations made from 1.12.2014 until 31.1.2015 for stays from 1.2.2015 until 30.3.2015. The early booking applies to all types of rooms and breakfast.

Step 1

Go to settings and click 'Special calendars'.
Click the 'New special calendar' button.
Use Open/closed calendar to set the dates of stay that you want the early booking discount to apply (from 1.2.2015 until 30.3.2015).
Title: Give a title to the calendar (e.g. early booking discount TUI).
Type: Choose Open/closed calendar

Move your mouse (point with your finger if you are using a smartphone or a tablet) and click on the button ‘Open’.
Move your mouse (point with your finger if you are using a smartphone or a tablet) and click on the dates from 1.2.2015 until 30.3.2015. Color them with green (open). If you want to select multiple dates together, left click and hold while moving over the dates.
You can also use the filters (Set, as) to set up a whole month.
Move your mouse (point with your finger if you are using a smartphone or a tablet) and click on the button ‘Closed.
Set ‘Remaining’ as closed (red).
Click Save.

Step 2

Go to settings and click ‘Special prices’ Click the 'New special price' button.
Fill in the 'Basic data', choose the type ‘discount’ and click Save.
Click on the tab 'Accommodation' and set 10% discount.
Select all types of rooms.
Choose stay restriction ‘Without restriction’.
Click Save.
Click on the tab 'Board'. Set discount: 10%. Click on breakfast.
Click Save.

Step 3

Go to settings and click ‘Price lists‘.
Click on the price list that you want and go to tab ’Special prices’.
Click on the button 'New special price'.
Special Price: select the special price 10% early booking you created in step 2.
Validity from: 1.12.2014
Validity to: 31.1.2015
Arrival: Choose the open/closed special calendar early booking discount TUI
Click Save.

Booking agencies

How to create a booking agency:
Go to settings and click 'Booking agencies'.
Click the button 'New booking agency'. Type the title or name of the booking agency (for example booking.com, TUI etc.).
Click Enabled to enable the booking agency. Click Override prices if you want to be able to override prices within the reservation. Click OK.

Disable a booking agency:
Click on the booking agency that you want to disable. Uncheck 'Enabled'. Click OK.

NOTICE: To be able to Overide prices for a booking agency, you have to enable it here and also have this option enabled in user permissions.

Contracts

To create a new contract, go to settings and click ‘Contracts’. Click on the button ‘New contract’.

Basic data:
Title: Type the name of the agency.
Agency: Select the agency from the list.
From: Starting date of the contract.
To: End date of the contract.
Price list: Choose the price list related to this contract

Rooms: At this tab you can set the sales target and the minimum contractual per type of room and per season.

NOTICE: Sales targets are used in various reports regarding occupancy (occupancy per day, occupancy per booking agency etc.). Therefore it is important to set the sales target for each booking agency in order to get correct reports and be able to make correct decisions.

Housekeeping rules

You can set rules for housekeeping. You only set the rules once and the system calculates automatically the rooms that need to be cleaned, depending on the rules you set. You can ofcourse change, update, enable or disable the rules at any time.

To set housekeeping rules go to settings and click ‘Housekeeping’.
Click on the button ‘New housekeeping plan’.
Title: Give a title to the cleaning plan (e.g. complete cleaning, change towels).
Description: Provide a description of tasks for housekeeping staff.
Enabled: Click to enable the plan.
Type: Select partial or complete cleaning.
Checkout: Click if you want to create a cleaning plan to run when the customer checks out of the room.
Or
Interval: Select the number of days this rule will run (e.g. every 2 days).

Other settings

In this section you will find information about other settings in hoteliga.

Reservation sources

Go to settings and click 'Reservation sources'. Click the button 'New reservation source'.

Type the title of the source source (e.g. friend, phone, mail campaign, internet etc.). Click OK.

Board

Go to settings and click 'Board'. There is a list including the following:
Full Board
Half Board
Bed and breakfast
Room Only
To change the titles, localize in other languages, enable or disable, click on one of them at the time, make the changes you want and then click OK.

Users

Create a new user:
Go to settings and click ‘Users’.
Click the button ‘New user’.
Username: name of the user
Enabled: enable or disable the user
New password: user’s password (the password can be changed later by the user)
Confirm new password: retype the password
Permissions: select the parts of the system that the user should have access to
You can also choose if the user should be able to Override prices or not.
Click OK

Disable existing user:
Go to settings and click ‘Users’.
Click on the user you want.
Uncheck ‘Enabled’.
Click OK.

Setting invoicing

Here you will find information on how to set your tax rates in the system and also the counters for invoices and receipts. Depending on your country and/or city, different tax rates may apply. Make sure you confirm with your accountant that all rates and counters entered in the system are correct before you start issuing invoices and receipts.

Invoicing | Taxes

Go to settings 'Invoicing' and click 'Taxes'. Click on 'New tax' button.
Title: Give a title for the tax (this will appear on the invoice/receipt).
Tax type: Choose the country where you are paying taxes to.
Information: By clicking this link you can see information about the taxes that apply in your country.
beverages_vat_rate: type here tax rate for beverages or other services (eg. 23)
standard_vat_rate: type here tax rate for board, meals (eg. 8)
accommondation_vat_rate: type here the tax rate for accommodation (eg, 6,5)
Click OK.

IMPORTANT NOTICE: Please contact your accountant and ensure that the tax rates are correct before starting issuing invoices and receipts.

Invoicing | Counters

Go to settings at the invoicing section and click 'Counters'. Click 'New counter'.
Title: Give a title to the counter.
Type: Select Invoice or Receipt.
Initial value: The initial value (number) of the invoice or receipt.
Next value: The next value (number) of the invoice or receipt.
Format: This symbol ‘####’ means only numbers. If you also want to include a letter before the number, then write eg. ‘A####’. Click OK.

You can have as many counters as you need.

IMPORTANT NOTICE: Please contact your accountant and ensure that the tax rates and your counters are correct before starting issuing invoices and receipts.

Invoicing | Billing info agency

You have to enter the Billing information of each agency, in order to be able to issue invoices.
To do that, go to ‘Customers’ and click ‘New customer’.
Enter the Basic data and the Billing info of the agency.
Click Save

Go to ‘Settings’ and click ‘Booking agencies’ Click on the agency that you want.
Customer: Type in the first letters of the name of the agency and select the one you want from the list that appears.
Cooperation type: Choose ‘Commission based’ or ‘the agency pays for the reservation’.
Click Save.

Invoicing | Price lists

Go to 'Settings' and click on'Price lists'.
Select the Price list that you want.
Click on the tab 'Taxes'.
Enabled: Select/Click this to enable taxes for this price list.
Included: Select/Click this if taxes are include in prices. If taxes are not included, leave this unchecked.
Click Save.

3 ways to invoice

Fast invoicing

Invoice your customers fast from inside the reservation. Use this way to issue invoices when you want to invoice the whole amount of the reservation to one customer. From inside the reservation click the 'Invoice/Receipt' button.



1 Template: Select the template of the invoice or receipt.2 Counter: Select the counter.
3 Preview: Preview of the invoice or receipt. 4 Issue: Click to issue the invoice.

Reservations invoicing

From 'Reservations invoicing' you can invoice your customers, booking agencies and companies.
You can also choose the customer, booking agency or company to be invoiced.
You can spit the amounts and issue more than one invoices/receipts for one reservation to different customers.
Go to Settings anc click 'Reservations invoicing'.

Manage customers

In this section you will learn how to manage your customers’ information, monitor their reservation history, and send emails and messages to your customers’ mobile phones in order to efficiently communicate and promote your business.

The ‘Customers' part of this system consists between others, of a view of all the acquired customers and their reservations. This information will help you reduce searching and correlating customers and to foresee returning customer needs effectively in order to increase business.

In today’s competitive hotel industry, the practice of dealing with customers and convert one time guest into a returning customer, is predominant to a thriving business. This part of the system will help you achieve this with ease and also keep track of communication with customers.

Search a customer

Go to 'Customers'. Click on the 'Show filters' button.
Use the filters to search for a customer by last name, first name, phone, mobile and country of origin.
Click the 'Filter' button to start the search or click 'Reset' to reset the searching criteria.

New customer

Go to 'Customers'. Click on the 'New customer' button.
You can also enter a new customer from inside a reservation.

Customer info

Basic information includes the following:
Last name * obligatory filed
First name
Phone
Mobile
E-mail
Country
Notes

Billing info includes the following:
Address 1
Address 2
City
Zip code
Occupation
Tax ID
Tax ID extra

Reservations
In this tab you can see the reservation history of the customer. If you want to see the details of a reservation click the button ‘Reservation’.

Messages
Click the 'New message' button
Type * obligatory: Select the type of message (email or text message).
Recipient * obligatory: The email or the mobile number of the customer automatically appears here if the email or mobile phone number is entered in basic data. If not, you can still update this information from this screen without needing to go back to basic data info.
Subject * obligatory: It appears when you select email. This is the subject of the email.
Message * obligatory: The main text of the message.

Tips

Ask and keep your customer’s contact details.

By keeping customer’s contact details (name, email, phone, notes etc.) you will have the chance to communicate again in the future and make successful campaigns and promotions. For example you can send a thank you email or an email for an offer for next year or even new year wishes. The customer will be happy and he might select you again for his vacation.

Search before creating a new customer.

Try to keep your customers' data base clean and avoid double entries. A clean database will make searching customers easier and faster, it will smooth daily operations and communications and will help you do future campaigns.

Extra charges

Within the reservation you can add extra charges (e.g. coca cola, transfer airport, parking, safe box etc.). Extra charges appear with the names you set in settings and are calculated automatically in invoices with the tax rate set for each one of them.

At the tab 'Cost breakdown', you can see the total of extras that have been charged to the reservation. Extra charges are added to the balance of the reservation.

For group reservations, balance is calculated overall grouped reservations including extras. At cost breakdown of grouped reservations, you can see a separate line with the total of extra charges charged in other reservations belonging to the group.

Below you will find step by step instructions on how to set up extras in settings and how to use extras from inside the reservation.

Category extras

Go to settings and click 'Categories'.
Click the button 'New category'.
Title: Type the title/name of the category (e.g. mini bar, transfers, bar, amenities etc.).
Click OK to save.

Set extras

Go to settings. Click 'Extra charges'. Click the button 'New extra charge'.

Title: Type a title/name for the extra charge (e.g. coca cola, transfer airport, parking, safe box ect.).
Category: Select the category of the extra charge (e.g. Mini bar, Café, transfers, amenities etc.).
Unit price: Price per unit.
Tax type: Select the tax applicable for this extra charge
Beverages_vat_rate: Tax on alcoholic beverages
Food_vat_rate: Tax on board (food)
Accommodation_vat_rate: Tax on reservations

Extras reservation

To add an charge an extra to a reservations, open the reservation and click on tab 'Extras. Click the button 'New extra charge'. Enter the extra charge data and Save.




1 Click the button 'New extra charge' to add a charge to the reservation. 2 Date of the charge.
3 Title: Start typing the first letters of the name of the extra and the relevant extras will appear e.g. if you type 'co' the extra charge named 'cocktail' will appear. Select the extra charge you want. 4 Unit price: The unit price set in settings. You can override the price if you wish, just type in the price you want.
5 Quantity: Type in the quantity. 6 Subtotal: The unit price multiplied with the quantity.
7 Notes. 8 Total of extra charges.

Email templates

You can easily create beautiful email templates in minutes.

You can create as many templates as you need e.g. 'Confirmation reservation' email, 'Thank you' email etc. and use these from inside the reservation to send dynamic emails to your customers. By using the dynamic emails feature you will save a lot of time in communications with your customers and you will improve customer loyalty.

Below you will find a range of variables that you can use inside the template. By using the variables, you can send relevant and personalized emails to your customers without the need of typing anything manually again and at the same time your emails look personalized as they dynamically generate all information related to your customers’ reservation.

  • Got the skills to roll your own email designs? You can create your own HTML template and paste it in templates.
  • You do not know HTML or how to design an email? No worries, you can use the provided simple to use editor and just type in the text you want.

To create dynamic email templates go to Settings-Templates and click the New template button.

NOTICE: Variables are case sensitive and should be used exactly as they are defined in the system. e.g. {{ firstname }}. Below you will find all variables that can be used in email templates. Copy and paste them in your email templates.

Ιn your account at Settings-templates your will find a few examples of emails. You can just click on them, change your hotel’s details (logo, contact details, website link etc.), and use them as your own personalized emails.

iCal synchronisation

Hoteliga offers one-way iCal synchronization with AirBnB, homeaway, Housetrip, Wimdu, 9Flats.com, Flipkey, entxpress.com, Only-Apartments.com, Roomorama and much more.

How to export availability in iCal format.

Login to your hoteliga account
Go to the Calendar
Click on the room



Copy the link at iCal (CTR + C)


Login to your AirBnB account
Go to your AirBnB calendar
Click the button ''Sync with other calendars''



Click ''Import Calendar''



Paste the iCal link you copied from hoteliga, at field ’’Calendar Address (URL)'' (CTR + V)
Give a name to your Calendar
Click the button ''Import Calendar''



Don't forget to synchronize your AirBnB calendar.

Click the refresh button to synchronize your AirBnB calendar, every time you login your AirBnB account.
You can also see how long since the two calendars last synchronized (see image below).



Export Calendar to iCal (.ics).

For iCal Calendars that support importing .ics files (eg. Google Calendar), go to ''Tools'' , Click ''Calendar to iCal'' and click ''Export''. An ''.ics'' file is downloaded and you can import this file in your iCal Calendar instead of pasting the iCal link.
